How many follow-up emails should you send, and how far apart?

Why follow-ups matter
- 42% of cold email replies come from follow-ups, not the first email. Instantly, 2026
- 4–6 follow-ups over 20 to 21 days is what the best-performing sequences used. Saleshandy
- 0.3% is the spam complaint rate Google says senders must stay under. Google
Not every dataset agrees: Snov.io found its highest response rates in short, two-email sequences (Snov.io). The safe reading is that one follow-up is clearly worth it, and three to five is where most teams stop gaining.
A schedule you can copy
The first follow-up catches people who meant to reply and forgot, so send it while your first email is still fresh. Later ones reach people who are busy, so space them out.
- Day 1 · First email. Short, about them, one clear ask.
- Day 3 · Follow-up 1. One new piece of value, not "just bumping this".
- Day 7 · Follow-up 2. A different angle: a result, a question, an example.
- Day 14 · Follow-up 3. Make "no" easy: "Not a priority right now?"
- Day 21 · Last note. Close the loop politely and leave the door open.
What a good follow-up looks like
Hi Priya,
One thing I didn't mention: most teams hiring their first SDR spend the first three months building a lead list before any real outreach happens.
I put together a short list of companies that look like your best customers. Want me to send it over?

When to stop
- They reply, even with "not now". It's a conversation from here, not a sequence.
- They ask you to stop. Stop immediately. In the US, CAN-SPAM requires you to honour opt-outs within 10 business days (FTC).
- Complaints climb. Pause the sequence and look at your list and message.
FAQ
How many follow-up emails is too many?
More than five follow-ups after the first email usually adds unsubscribes and spam complaints faster than replies. Stop sooner if your complaint rate rises.
How many days should you wait between follow-up emails?
Two to three days before the first follow-up, then about four days, then a week. A five-email sequence on that rhythm runs about three weeks.
Should a follow-up be a reply to the first email?
Usually yes. Replying in the same thread keeps the context visible, so the reader doesn't have to remember who you are.
